Booking Terms and Conditions

BOOKING CONDITIONS

The booking conditions apply even if for some reason the booking form has not been completed, e.g. a late booking by telephone. The prices quoted are the weekly rates for the number of stated beds in the accommodation, it is strictly forbidden to exceed this number without written permission from Algarve Accommodation Agency. A folding bed or sofa bed can be hired.


YOUR CONTRACT WITH AAA

When you have chosen your accommodation, the person in charge of the party must sign the booking form. This confirms that you agree to the booking conditions. The contract is confirmed when Algarve Accommodation Agency (AAA) receives your deposit.


PAYING FOR YOUR HOLIDAY

A deposit of 20% of the total cost of your accommodation is due on booking. The remaining 80% is due 8 weeks before your arrival date, otherwise the accommodation may be forfeited. Late bookings (within 8 weeks of the start of your holiday) must be paid for in full at the time of booking. The person signing the form is responsible for all payments. Our prices are made in Sterling and we have a Sterling bank account for payment. If you wish to pay in Euros then we will exchange the rate on the day of the transaction and provide you with our Portuguese account details. On no occasion will the Algarve Accommodation Agency be responsible for any bank charges.


WHAT THE PRICE COVERS

The rental sum covers the property and services described in the brochure. Subletting is prohibited. Animals can only be allowed if agreed in writing at the time of booking. Admission will be refused or terminated if any of these conditions are broken. Clients undertake to report any damage to the accommodation or its contents during their occupation, and to pay for any damaged or missing items, telephone charges, or any other services consumed. Cigarette burns on furniture will be charged at full replacement cost. For this purpose we reserve the right to collect a security deposit of £150 for an apartment or £300 for a villa on your arrival, refundable after your departure.


EXTRA PERSONS

Throughout our brochure and on our property fact sheet we have shown the number of people our accommodation sleeps comfortably. We can accommodate extra persons in most of our villas and apartments. An extra child under the age of two years will be charged at £30.00 per week, for an extra person over two years the cost is £70.00 per week (unless specified on the individual property fact sheets as different). This charge covers the use of all amenities, cots will be provided for a child under 2 years and a z-bed or sofa bed will be provided for a person over 2 years.


MUTIPLE PROPERTIES

When booking more than one property with AAA, we require a booking form to be completed for each accommodation. Also once in residence it is required that you do not remove items from one property to another as all our properties are individually owned and furnished.


IF YOU HAVE TO CANCEL

In the case of a cancellation, notice must be given in writing / via email by the person who signed the booking form. This is effective from the date it is received at AAA’s office. Your deposit is non-refundable and will be forfeited if you cancel. For a cancellation between 3 months and 8 weeks of the start of your holiday 50% of the total cost of the accommodation is due. If cancelled within 8 weeks of your arrival date then the total cost of the accommodation will be payable in full.


HOLIDAY INSURANCE

You are strongly advised to take out holiday insurance to cover holiday risks and cancellations. IF AAA CANCELS YOUR HOLIDAY In the unlikely event that the accommodation is rendered uninhabitable due to fire, earthquake or any other means beyond our control you will be offered the choice of alternative accommodation of comparable or higher standard when available, or a full and prompt refund of all the money you have paid.


LIABILITY

We cannot accept liability for errors or omissions of our principals over whom we have no control (such as airlines, car hire companies, management etc.). All information concerning the accuracy of descriptions is thoroughly checked and believed correct at the time of going to press, but it is possible that a facility may be withdrawn or changed without notice, and in circumstances beyond our control. Whenever possible changes will be advised to you without delay. The booking of accommodation is independent of, and bears no liability, to any other services or product that you have purchased.


WINTER HEATING

Electricity and gas are metered, and where appropriate will be charged at cost and deducted from the deposit.


CLEANING SERVICE

A cleaning service is provided at least once a week, and frequently more often, according to the individual accommodation. Their duty is to generally tidy up and change towels and bed linen. However they are not expected to do the washing up and rubbish disposal etc.


HOUSE RULES

The occupants agree to respect the house rules of the accommodation, and the complex of which it is part.


ARRIVAL AND DEPARTURE TIMES

On your day of arrival your accommodation will be available between 14h00 and 16.00 and on your day of departure we ask that it be vacated by 10h00. Please note that arrivals at the accommodation between 19.00 – 21.00 hrs will incur a €20 euros out of hour’s arrival fee after 21.00 hrs will incur a €30 euros out of hour’s arrival fee payable when you meet the representative at your accommodation.


AIRLINES THAT REQUIRE ON LINE CHECK IN

Please make sure if you have booked flights with an airline that requires you to check-in on line and print a boarding pass you do this before you leave your departure country. This can normally be done 15 days in advance of your flight. In the event you need to do this while in Portugal we can offer this service from our offices and we charge a €1 euro per person charge for this service.


COMPLAINTS

We fully expect you to be very happy with the accommodation and amenities provided. However if you feel that you have reason to complain you must immediately contact our local representative, either personally, by phone or in writing so that the problem can be resolved. We cannot be responsible for any matter which you did not bring to our attention during your holiday.


PRICES

Prices are correct at going time of publication, and are subject to alteration.


CHECK IN AND SECURITY DEPOSIT

On check in to any of our accommodations we will collect a security deposit form, this will have been sent in advance of arrival for you to complete, for a villa we reserve the right to hold £300 or for an apartment £150. You are also by law required to provide the passport numbers and residency details of all persons using the accommodation, a SEF boarder control form to compelete will also be sent in advance of arrival to complete and hand over to the rep on arrival.
